Privacy is not only about what you keep, but also about how you throw things away. Data that quietly disappears leaves questions behind: is it really gone, or did something go wrong? That is why we delete visibly.
You set the retention period
For each AI receptionist you choose whether calls are recorded and how long those recordings are kept: 7, 90 or 365 days, depending on your plan. You can also choose not to record at all.
Three choices after deletion
Once the recording has been removed, you choose what happens to the rest of the call:
- Keep: the transcript and analysis stay available for insights and reports
- Anonymise: names, phone numbers and other identifying details are removed, the content of the call stays
- Delete: everything is gone, for good
Anonymising in two steps
Anonymising sounds simple, but personal data is not only in the ‘name’ and ‘phone number’ fields. A caller will mention their address, a colleague’s name or a date of birth in the course of the conversation. That is why it happens in two steps.
First, we remove the caller’s known details, such as name and number, word for word, everywhere they appear. Then an AI model searches the rest of the text for anything left over: other names, addresses, dates of birth, account numbers.
If that second step fails, the call does not count as anonymised. We try again every hour, up to ten times. If it still does not work after that, we flag the call so our team can handle it by hand. We never quietly leave personal data behind.
A visible marker
What we remove does not disappear without a trace. Where the data used to be, we place a marker that says what happened and when. For example: ⟂ REDACTED delete 2026-04-22T10:00:00Z.
So anyone who opens the call later does not see an empty field that leaves you wondering whether anything was ever there. You see that the data was deleted, and at what moment.
The record stays, the content does not
The call itself remains as a record: when the call came in, how long it lasted and which AI receptionist answered. That way you can always show that your retention period was followed, without keeping the content.
Certified, and we show it
